Meet Attendance

You must RSVP before the deadline for each meet.  Only swimmers listed as Attending by the deadline will be included in the meet line-up.  Swimmers that are either Undeclared or Not Attending at the deadline time will NOT swim at that meet.

Our coaches need time to plan the line-up. Mini meets and Finals line-ups often require even more time. Deadline dates will be set accordingly.

  • Go to our website at www.woodbrooke.swimtopia.com
  • Go to the Calendar of Events tab
  • Scroll down to find the event of interest
  • Click the Meet Entry button
  • Click on the Edit button
  • Click on the drop down menu beside the swimmer’s name and select the appropriate item (Attending/Not Attending)
  • If Attending, you may select events but note that this is NOT a guarantee the swimmer will swim those events.  Coach Eric will make the final selections based on what is best for the swimmer and the team.
  • Click on Save.  This is CRITICAL!!  Your selection will not be saved unless you click Save.

Also, your swimmer may be placed in a relay so don’t leave the meet early. The team may be counting on your swimmer for the relays at the end of the meet.

Meet Day Schedule

Dual swim meets will start between 5:30pm and 6:30pm.  The start time is dependent on the travel time between the two clubs as well as the availability of the coaches and the Official.  The start time will be determined and communicated as far in advance as possible. 

At home meets, our warm up time will likely be 2 hours before the meet start. At away meets, our warm up time will likely be 1 hour before the meet start time. Again, these times are dependent on the meet start time and will be communicated when the start time is determined. 

Mini Meets typically start at either 8:00am or 9:00am.  Our warm-up time is established by the host club but is generally within an hour of the start time.

Marshalling

At each meet there will be volunteer parents who assist the swimmers in the 8 & Under and 9-10 age groups get to the starting blocks on time. This is referred to as Marshalling. At home meets, we will be Marshalling at the north of the pool shed. There will be a sign on the fence that indicates which events are being Marshalled. Volunteer parents line up the swimmers according to lane assignment and event number and lead them to the blocks at the appropriate time. At away meets, we find a place to set up our Marshalling area as soon as we arrive. Please help your young swimmers find the Marshalling area and report there at the correct time:

  • Events 7 - 10 begin to marshal right at the start of the meet
  • Events 17 - 20 begin to marshal during Event 11
  • Events 27 - 30 begin to marshal during Event 21
  • Events 37 - 40 begin to marshal during Event 31

Marshallers do not go looking for missing swimmers. The Marshallers’ job is to stay with their group of swimmers and get them to their block on time. Therefore, it is important for parents to pay attention to the Marshalling sign and get their swimmers to the Marshalling area on time. We do not marshal swimmers 11 and older. By then they can usually make it to the starting blocks independently. We also do not marshal for the relays.

When swimmers check in at arrival of the meet, a volunteer parent will mark their hand with their event number(s). Once the heat sheets have been generated, swimmer parents should write the corresponding heat and lane next to the event numbers.  This is a convenient way to have all that information “handy.”

Home Meets Pool Lay-out

When you arrive at the pool for a Home Meet, you should look for the Water Warrior Team area. This will be on the north-west side of the pool deck under the shade sail. Bring some lawn chairs or a picnic blanket and set up a home base for your family.  Our Marshalling area at home will be just north of the pool shed.

Ribbons

When your young swimmer competes in a swim meet, he or she will receive a Ribbon for each race with a sticker on the back that is a record of the day, the team we swam against, the event and his or her time. If your swimmer participated in an exhibition heat (not for points) the ribbon will be rainbow colored. If your swimmer participated in the final heat of an event (for points) the ribbon will be colored according to their finish place (1st – 6th). Ribbons are a fun memento of each race your swimmer participated in over the whole season. In response to the observation that many older swimmers never collect their ribbons, the NSSL has decided to eliminate ribbons for swimmers 13 and older. Swimmer results are available on-line at the NSSL website.

Meet Rules

During meets, swimmers are not allowed to wear any jewelry. They may not wear suits or caps with logos from other teams—school teams or other swim clubs.This is an NSSL rule. Swimmers can be disqualified from their events for inappropriate attire.

Meet Scoring

DUAL MEET SCORING

  • Individual Events: 5-3-2-1 (each team limited to scores for two places)
  • Relay Events: 8-4 (each team is limited to a score for one place)
  • Individual and relay events must be swum, even if unopposed, to score points.

CHAMPIONSHIP MEET SCORING

  • Individual Events: 16-13-12-11-10-9-7-5-4-3-2-1
  • Relay Events: 32-26-24-22-20-18-14-10-8-6-4-2
  • Individual and relay events must be swum, even if unopposed, to score points.

Parental Support

Encourage your swimmers! Be proud of their performance and on-going efforts. 1st, 2nd and 3rd place finishes are great; however, they are not the only signs of success. Improving individual times, rallying around teammates and making new friends are winning ways also!
